Campaign Creative Handover: Keep the Right File With the Right Booking

Use a clear version, approval and replacement process for screen advertising files.

Creative handover is where a campaign idea becomes a file someone can actually display. Keep the approved artwork tied to the order and avoid sending a series of ambiguous final versions. OnScreenNow’s campaign workspace gives the parties a place to handle creative and delivery evidence. Technical acceptance, brand approval and the campaign schedule should agree before the operator starts the run.

Prepare the required version

Use the operator’s dimensions, format, duration and other current requirements. Export the correct language and orientation. Review the final file itself rather than only the design project. Check spelling, dates, prices, image rights and the destination address. A technically valid file can still contain an inaccurate or unusable message.

Name files so their purpose is clear

Include a campaign identifier, format, language and version in the filename. Keep one approved master for each required variation. Avoid labels such as final-final-new when they do not explain the difference. A naming convention helps both the operator and an administrator connect the file with the correct screen booking.

Confirm approval and scheduling

The advertiser approves the business message and the operator confirms suitability for the display. Record the agreed start and any specific schedule. Uploading a file alone should not be interpreted as confirmation that it is already running. The campaign’s state should reflect the actual steps completed.

Handle replacements deliberately

If the message must change, explain the reason, the requested switch time and which existing version it replaces. Get confirmation through the supported workflow. Keep the earlier approval history where relevant, particularly when a campaign’s proof photographs show a previous version. Clear replacement handling reduces disputes about what should have been displayed.

Frequently asked questions

Is an upload the same as operator acceptance?

No. File receipt, technical approval and the decision to schedule are separate stages. Check the campaign state and any operator response.

Can proof photographs show a different creative?

They should match the creative authorised for the relevant period. If versions changed during the campaign, retain the timing and approval record so the evidence can be reviewed correctly.

Put the plan into practice

Explore currently listed advertising screens, prepare an authorised screen listing, or organise your company workspace. Confirm the actual inventory, delivery and supported connections before committing to a campaign.
