Import and Export CRM Records With a Clear Data Plan

Prepare clean files, preview changes and distinguish an export from a complete recovery process.

Moving customer records into a CRM should make them easier to use, not introduce a second set of duplicates. Decide which information belongs in the workspace and how it will be maintained. Review a small sample before importing a large file. Keep exports useful by understanding what they contain, who may request them and how files are handled after download.

Prepare the source information

Choose an authorised source and remove records your company should not retain. Standardise names, email addresses, dates and field meanings. Keep a reference to the original record when it helps identify duplicates. Do not import an old spreadsheet simply because it exists; confirm its purpose, quality and appropriate use.

Review the mapping and preview

Match each source column to the intended CRM field. Check a sample of ordinary and unusual rows before executing the import. Look for broken characters, swapped names, ambiguous dates and missing identifiers. Understand whether the operation creates new records or updates existing ones. Those are different actions with different risks.

Handle duplicates and ownership

Decide how the team will identify repeat contacts and which record should hold the current relationship. Assign work to a responsible owner instead of leaving a large unreviewed list. A technical import success means the file was processed; it does not mean every record is accurate or ready for sales activity.

Use exports with the right expectations

An export can help you inspect or move the information included in that output. Check whether it contains archived records, related documents or only a selected section. Restrict access to sensitive files and remove unnecessary local copies appropriately. A company export and a tested full-system recovery process are not the same thing.

Frequently asked questions

Should I import every spreadsheet column?

Only information with a clear business purpose and appropriate handling should be moved. Extra columns can create confusion and unnecessary privacy exposure.

Does an export guarantee I can restore the whole platform?

No. A recovery process must account for the database, files, configuration and relationships, and should be tested separately. Read the scope of the particular export.

Put the plan into practice

Explore currently listed advertising screens, prepare an authorised screen listing, or organise your company workspace. Confirm the actual inventory, delivery and supported connections before committing to a campaign.
